AI Survey Analysis Is Now Built Into Google Forms: 12 Responses Get You Next-Step Recommendations

If your business collects customer or staff feedback through Google Forms, you no longer have to read every response yourself. In November 2026 Google began rolling out Actionable Insights, a feature in which Gemini reads all the responses and writes you a summary and recommended next steps. According to Google's support page, the form needs at least 12 responses and at least 3 questions, and it cannot be a quiz. You also need an eligible Google Workspace or Google AI plan. The short version: turn it on for your next customer satisfaction survey, but read the analysis steps and check the recommendations before you base a decision on them.

What changed in Google Forms?

Google Forms used to chart closed questions only, while written answers piled up in a sheet nobody read. Google has added AI to the Responses tab in three stages, each with its own limits:

  • Summaries of written answers: generated automatically for each open text question once there are between 3 and 200 responses. They do not work on quizzes, and summaries are not saved, so copy one if you want to keep it.
  • Theme percentages: announced on February 24, 2026. They group written answers into themes and calculate the share of each, then open a Google Sheet with a pie chart and a response count per theme. They work best with 8 to 200 responses, and you can add or delete themes yourself.
  • Actionable Insights: new this month. It analyzes responses to all question types together, not just text, and writes a report in 3 sections.

What does the report tell you?

When you click Generate insights in the Responses tab, Gemini gives you a three-part report: an executive synthesis of the main things respondents said, an advanced analysis that links answers to one another (for example: are the customers who rated delivery low the same ones who ordered from a particular branch?), and recommended next steps. Google says Gemini analyzes the responses by writing and running Python code, so counts and percentages come from your actual data. You can open the analysis steps to see how it reached its conclusion, rate a suggestion as good or bad, or ask for a fresh analysis.

That cross-linking of answers is what used to eat an employee's time in Excel. A restaurant owner with 3 branches who collects 150 reviews a month now gets a first reading in minutes instead of days.

A practical example: an online store sends a 4-question form after every order: a 1-to-5 rating for delivery speed, a rating for packaging, a choice of city, and an open question for comments. After two weeks it may have 80 responses. Instead of an employee sorting them one by one, the report might show, for example, that most of the low ratings came from one city and that the written comments there keep mentioning delays, then suggest reviewing the shipping company in that city. The decision stays yours, but you start from a clear question instead of a long spreadsheet.

When does the feature not work?

  • When the form has fewer than 12 responses or fewer than 3 questions.
  • When quiz settings are turned on.
  • When the form is linked to a spreadsheet you do not have access to.
  • When your plan is not eligible. Google's announcement limits the feature to Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Plus, Google AI Pro and Ultra, and does not mention Business Starter.
  • When the rollout has not reached your account yet: it began on November 2, 2026 for Rapid Release domains and starts on November 19, 2026 for Scheduled Release domains, and it can take up to 15 days to appear.

Google itself states on the support page that Gemini's output may be inaccurate and is not legal or financial advice. It also says there is no admin control for theme percentages, so if your plan is eligible, the feature appears for everyone who edits forms.

How can your business use it this week?

  1. Design the survey to be analyzed: include at least 3 questions: a numeric rating, a choice (branch or service), and an open question such as "What should we improve?". That mix gives the analysis something to connect.
  2. Do not ask for personal data you do not need: a name and mobile number on a satisfaction survey add nothing to the analysis and increase your responsibility for protecting data.
  3. Wait for enough responses: the minimum is 12, but recommendations built on 12 people are weak. Collect enough before you change a policy or a price.
  4. Review the analysis steps: open them and compare the figures with the actual responses before you show the report to management.
  5. Turn each recommendation into a task: every recommendation you accept becomes a task with an owner and a date. If the same complaints keep coming back, they belong in a ticketing system, as we explained in Managing Customer Complaints in a CRM.

The Origami view

This feature solves half the problem: reading the responses. The other half is what happens next. Many businesses collect surveys and stop there, because the responses never reach the person who can act. When customer feedback is part of your system, tied to the order, the branch and the employee, a low rating becomes an instant alert instead of a line in a monthly report. If you want to connect your surveys to your customer system or an internal dashboard, get in touch and we will map the route with you.

Frequently asked questions

Can Google Forms analyze survey responses with AI?

Yes. In the Responses tab, Gemini summarizes written answers and calculates theme percentages, and with Actionable Insights it writes a synthesis, an analysis and recommended next steps, provided you have an eligible Google Workspace or Google AI plan.

How many responses do I need for Actionable Insights?

At least 12 responses and at least 3 questions, and it does not work when quiz settings are on. Summaries of written answers work from 3 to 200 responses.

Is the feature available on Business Starter?

Google's announcement limits Actionable Insights to Business Standard and Plus, Enterprise Standard and Plus, Education Plus, and Google AI Pro and Ultra, and does not mention Business Starter. It can take up to 15 days to appear after the rollout starts.

Should I act on Gemini's recommendations directly?

No. Google itself warns that the output may be inaccurate. Open the analysis steps, compare the figures with the actual responses, and collect enough responses before making a decision.
